About our privacy policy

MagFrame falls under the parent company Magstuff B.V.

Magstuff B.V. cares deeply about your privacy. Therefore, we only process the data we need for (improving) our services and handle the information we have collected about you and your use of our services with care. We never share your data with third parties for commercial purposes.

This privacy policy applies to the use of the website and the services provided by Magstuff B.V. The effective date for these terms is April 4, 2023; with the publication of a new version, the validity of all previous versions expires. This privacy policy describes what data about you is collected by us, how this data is used, and with whom and under what conditions this data may be shared with third parties. We also explain how we store your data, how we protect it from misuse, and what rights you have regarding the personal data you provide to us.

If you have questions about our privacy policy, you can contact our privacy officer; you will find the contact details at the end of our privacy policy.

About data processing

Below you can read how we process your data, where we store it (or have it stored), what security techniques we use, and who has access to the data.

Webshop Software
Shopware

Our webshop is developed with software from Shopware. Personal data that you make available to us for our services is shared with this party. Shopware has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Shopware is obligated to take appropriate security measures based on the agreement we have with them. These security measures include the application of SSL encryption, a strong password policy, and secure data storage. Shopware reserves the right to share collected data within its own organization and affiliated partners to further improve the service. Shopware observes the applicable statutory retention periods for (personal) data.

Email and Mailing Lists
Savvii

We use the services of Savvii for our regular business email communications. This party has taken appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Savvii has no access to our inbox, and we treat all our email communications confidentially.

Payment Processors
MultiSafepay

To handle a (part of) the payments in our webshop, we use the platform of MultiSafepay. MultiSafepay processes your name, address, residence details, and your payment details, such as your bank account or credit card number. MultiSafepay has taken appropriate technical and organizational measures to protect your personal data. MultiSafepay reserves the right to use your data to further improve its services and, in this context, share (anonymized) data with third parties. All the aforementioned guarantees regarding the protection of your personal data also apply to the parts of MultiSafepay’s services for which it engages third parties. MultiSafepay does not retain your data longer than permitted by statutory retention periods.

Shipping and Logistics
PostNL

When you place an order with us, it is our task to deliver your package to you. We use the services of PostNL for the deliveries. It is necessary for us to share your name, address, and residence details with PostNL. PostNL uses this data only for the execution of the agreement. If PostNL engages subcontractors, it will also provide your data to these parties.

Invoicing and Accounting
Epicor

For maintaining our administration and accounting, we use the services of Epicor. We share your name, address, and residence details and details regarding your order. This data is used for administering sales invoices. Your personal data is sent and stored securely. Epicor is obliged to confidentiality and will treat your data confidentially. Epicor does not use your personal data for purposes other than those described above.

Purpose of Data Processing

General Purpose of Processing

We use your data solely for our services. This means that the purpose of processing is always directly related to the assignment you provide. We do not use your data for (targeted) marketing. If you share data with us and we use this data to contact you at a later time—other than at your request—we will explicitly ask for your consent. Your data will not be shared with third parties, except to comply with accounting and other administrative obligations. These third parties are all bound to confidentiality based on the agreement between them and us or by oath or legal obligation.

Automatically Collected Data

Data that is automatically collected by our website is processed with the purpose of further improving our services. This data (for example, your IP address, web browser, and operating system) does not constitute personal data.

Cooperation in Tax and Criminal Investigations

In certain cases, Magstuff B.V. may be legally obligated to share your data in connection with tax or criminal investigations by the government. In such cases, we are compelled to share your data, but we will resist this within the limits that the law allows us.

Retention Periods

We retain your data as long as you are our client. This means that we will keep your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also interpret this as a request to forget. This also means that we will not retain your data for longer than two years from the last point of contact or transaction, unless there is a legal justification for doing so. Due to applicable administrative obligations, we are required to retain invoices containing your (personal) data, so we will retain this data for as long as the applicable period runs. However, employees will no longer have access to your client profile and documents that we have produced as a result of your assignment.

Your Rights

Under applicable Dutch and European legislation, you have certain rights regarding the personal data processed by or on behalf of us. Below we explain which rights these are and how you can invoke them. In principle, to prevent misuse, we only send copies of your data to the email address already known to us. If you wish to receive the data at a different email address or by post, we will ask you to identify yourself. We keep a record of processed requests; in the case of a forget request, we will keep anonymized data. All copies and extracts of data will be provided in a machine-readable format that we use within our systems. You always have the right to file a complaint with the Data Protection Authority if you suspect that we are using your personal data incorrectly.

Right to Access

You always have the right to view the data that we process (or have processed) that relates to you or is traceable to you. You can submit a request to this effect to our privacy officer. You will receive a response to your request within 30 days. If your request is granted, we will send you a copy of all the data we have stored about you, along with an overview of the processors that have this data, indicating the category under which we have stored this data.

Right to Rectification

You always have the right to have the data that we (have) processed and that relates to you or is traceable to you corrected. You can submit a request to this effect to our privacy officer. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the email address known to us that the data has been amended.

Right to Restrict Processing

You always have the right to restrict the processing of the data we (have) processed that relates to you or is traceable to you. You can submit a request to this effect to our privacy officer. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation to the email address known to us that the data will no longer be processed until you lift the restriction.

Right to Data Portability

You always have the right to have the data we (have) processed and that relates to you or is traceable to you executed by another party. You can submit a request to this effect to our privacy officer. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or extracts of all the data we have processed about you or that has been processed on our behalf by other processors or third parties to the email address known to us. In such a case, we will likely be unable to continue the service, as the secure linking of databases can no longer be guaranteed.

Right to Object and Other Rights

You have the right to object to the processing of your personal data by or on behalf of Magstuff B.V. in certain cases. If you object, we will immediately cease the data processing pending the handling of your objection. If your objection is valid, we will provide copies or extracts of the data we (have) processed and then permanently cease processing. You also have the right not to be subject to automated individual decision-making or profiling. We do not process your data in such a way that this right applies. If you believe this is the case, please contact our privacy officer.
